AI Assist Acceptable Use Policy

For your quick reference, we have outlined below the typical rights and restrictions that apply to most users of AI Assist. You should check with your data subscription manager if you want more detail on what you can do with AI Assist and Brightmine data.

These rights are only available to Brightmine customers who have a contract with Brightmine. Please contact Brightmine at helpdesk.uk@brightmine.com if you are not currently a customer and wish to use Brightmine data.

 

What you can do What you should not do

You usually have the following rights as an authorised user of Brightmine AI Assist:

Accessing and using the product. You can use Brightmine AI Assist for the specific tasks for which your organisation provides you with a licence to Brightmine AI Assist and which they have agreed with Brightmine. For example, you may only be permitted to use Brightmine AI Assist for invoicing and settlement, and not for more general use. The tasks for which you may use Brightmine data are the “Use Case”; you are only allowed to use Brightmine AI Assist and data for the Use Case.

Limited sharing with other Authorised Users. You can only share data with other people in your organisation who are licensed users of the same product and same content set. You cannot share information with someone who is not licensed for the same data, or who has an Brightmine licence for different data.

Limited storage. You can use and store small amounts of Brightmine data in normal office applications like Microsoft Excel, Word or PowerPoint (but not if those applications have generative AI features enabled, or if they share Brightmine data with the software supplier). You may not create an archive of Brightmine data over time, or store large volumes of Brightmine data.

Limited printing. You may print small amounts of Brightmine data for your own work purposes within the Use Case. You cannot, for instance, include data in a company-wide newsletter, customer update, or in marketing materials.

Deletion. Brightmine AI Assist is a subscription service, and your organisation licences Brightmine data rather than owning it. When your subscription ends, you must delete Brightmine data.

Usually, an Brightmine licence provides that you cannot do the following:

Sharing outside of your organisation. You may not share Brightmine data with third parties, or publish Brightmine data. This includes your organisation’s customers or suppliers, or on a company website. This also means you may not put Brightmine data into any third-party tool (including any generative AI tool), internal or external software, or data analytics tool.

Creating a data repository. You may not store large amounts of data on your own computer or in storage within your organisation. You may not create a database or your own repository.

Sharing with non-users. You may not share data with others within your organisation who do not have a licence for that same content.

Scraping or automating. You may not scrape data from Brightmine AI Assist or use other automated tools to take data out of Brightmine AI Assist.

Sharing passwords or other product misuse. As with any password-protected service, you should not share passwords, or allow others to use your login. You should not use Brightmine AI Assist for any harmful or illegal purpose or upload harmful content to Brightmine AI Assist. You should not use Brightmine data for personal purposes outside of your role with your organisation.

Personal data. Other than your login details, you should not put information into any Brightmine product which relates to, or could identify, a person.

Your organisation’s arrangement with Brightmine may give you different or additional rights, so please check with your data subscription manager if you are not sure what rights you have.

If you need the right to do something that is not permitted above, we can usually arrange for additional rights to be included in your organisation’s licence. Your data manager should contact your Brightmine account manager to add rights to your licence.

 

This Acceptable Use Policy is meant to help guide you in your day-to-day use of Brightmine AI Assist. It is not a contract, and does not necessarily reflect the contract between your organisation and Brightmine. The contract between your organisation and Brightmine prevails if there is any conflict between the contract and this Acceptable Use Policy.
